Dashboards
The Dashboard is the first tool you see when you open a Client. It gives you one place to monitor, visualize, and analyze the data that matters most to you and your clients.
The Dashboard lets you customize the data you see. For example, you can add widgets from different integrations, like Google Analytics 4, Facebook Ads, MailChimp, and BrightLocal, and even add custom data, all on one screen.
The beauty of the custom Dashboard is its ability to tailor the data you want to see. For example, you can have widgets from different integrations like Google Analytics 4, Facebook Ads, MailChimp, BrightLocal, and even custom data on one screen.
Where to Find the Dashboards
You can access any Client's custom dashboard by going to your Client's Dashboards tab, then selecting the + Add Dashboard.
Set a Date Range
Every dashboard lets you choose the time period of data you want to view. Once you set a date range, it applies to every module and widget on that dashboard.
Step 1: Click the date range selector at the top right of a dashboard.
Choose from one of the built-in options in the drop-down (currently showing Last Month in the example above):
Today: Displays data from the past 24 hours
Last 7 Days: Displays data from the past 7 days, including today
Last 30 Days: Displays data from the last 30 days, including today
This Month: Displays data from the current calendar month
All Time: Displays data starting from the date you set up the integration in AgencyAnalytics, or from when we began collecting data for that integration
Step 2: To set a custom date range instead, click the beginning and end date for your range on the calendar, then click Apply.
Your new date range takes effect immediately. You can also configure a time period for comparison. Learn how in the Compare to a Previous Period below.
Keep in mind, we can only display the data that's available to us. For certain modules, such as Rank Tracker, we can only show data from the date a keyword was added for tracking. For other modules, like the Social modules, the data we can show depends on the specific social network, since some metrics are only available from the date you connected that integration.
Create a Dashboard Page
Step 1: Open the Client for which you want to create a new dashboard page.
Step 2: If this Client doesn't have a dashboard yet, click Create Dashboard Page to open the creation pop-up.
If the Client already has a dashboard, click Add Dashboard in the top left instead to create a new one.
Step 3: Choose a starting point for the new dashboard:
Blank dashboard: Creates a fresh, completely blank dashboard you can fully customize
Smart Section: Generates an editable dashboard pre-filled with widgets from all the integrations already connected to this Client
Template: Generates a dashboard based on a template you choose. Use one of our premade templates, or build your own
Clone existing: Duplicates an existing dashboard of your choice into a new dashboard, which you can then customize
Step 4: Give the new dashboard a name. This name displays when viewing the dashboard and is used to identify it in the dashboard editor.
Step 5: Click Continue in the bottom left to start designing the dashboard.
The new dashboard appears in the sidebar on the left of the dashboard editor.
Click the gray line to the right of the sidebar to collapse it for a larger workspace.
Once your dashboard is created, you can add metric widgets, title headers, images, embedded content, and more to build it out. As you work, autosave locks in restorable versions of the dashboard, shown by the indicator in the top right.
Restore a Dashboard with Version History
Every time a dashboard autosaves, it creates and saves a new version. This means you can always roll back a dashboard if something goes wrong.
Step 1: Open the dashboard editor. Click the Rewind Icon in the upper right of the dashboard to open the version sidebar. This lists historical saves for the dashboard.
Step 2: Click a historical version to display it in the dashboard editor. Scroll through the dashboard to confirm it's the version you want to restore. Versions can't be edited from this preview, so restore the version first, then make any changes.
Step 3: Once you know which version to restore, hover over it in the sidebar, click the Ellipsis menu, then click Restore This Version.
Step 4: Review the version information in the confirmation window, then click Restore to revert your dashboard to that previous version.
Manage Dashboards
Dashboards can be added, removed, reordered, or altered from within the Dashboard Editor.
When viewing a custom dashboard, click Edit My Dashboard in the upper right to open the editor.
The menu on the left of the editor shows your current dashboards for this Client.
Hover over a dashboard, then click the Ellipsis menu to see more options, such as renaming it, cloning it, or saving it as a dashboard template for future use.
Click Edit to open the display settings, including Section Access, which controls who can view the dashboard. You can change Client Access by selecting or deselecting the checkbox.
Learn more in the Create a Dashboard for Internal Use section below.
You can also reorder dashboards from the left menu. Click, hold, and drag a dashboard up or down the list, then release to reorder. The next time you view the dashboard, the order reflects your changes.
Delete a Dashboard
Step 1: In the dashboard editor, hover over the dashboard name on the left, then click the Ellipsis menu.
Step 2: Click Delete in the dropdown. This permanently deletes the dashboard.
Deleted a dashboard by mistake? You can restore it by reverting to a previous dashboard version, as described in the "Restore a Dashboard with Version History" section above.
Customize Dashboard Colors
Match your dashboard colors to your branding with the white-label control panel.
Set the Account Brand Color
Account-level color settings apply to dashboards, widgets, and your custom login page for any Clients that don't have their own custom colors.
Step 1: Click your user profile in the bottom left, then click Settings in the menu.
Step 2: On the settings page, click Colors under the Branding heading to make account-level changes.
Set Client-Specific Dashboard Colors
Client-specific colors apply only within that Client and are visible to anyone viewing it, whether that's the account admin, a staff member, or a client user.
Step 1: From within any Client, click Client Portal in the top navigation bar to open the Client Portal Settings.
Step 2: In the top section of the Client Portal, customize and preview the Client's branding. Add the Client's logo and choose one of their brand colors to accent the Client interface. The preview on the right shows a general representation of the chosen branding.
Step 3: Click Save in the bottom left to lock in the changes for this Client.
Customize Individual Widget Colors
You can change the color of any widget on a per-widget basis, in the report or dashboard editor.
Click the widget you want to change, then click the Display tab in the Edit Widget menu on the right. Here, you can change the foreground, background, text, and border color for most widgets by clicking it and choosing a color.
Add Dynamic Date Ranges to Dashboards
When sharing a dashboard, add a dynamic date range so Clients can change the date range of the information displayed. Once enabled, the dashboard continues to update over time.
Enable a Date Range Selector When Sharing a Dashboard or Report Manually
Step 1: Navigate to the dashboard you'd like to share, then click the Share button in the upper right corner.
Step 2: From the dropdown, choose either Email or Share Link.
Email sends your clients a direct link, while Share Link generates a shareable link to a web report you can send manually.
Step 3: If you have multiple dashboards, you will be prompted to choose whether to share the Current Dashboard Section or Share My Dashboards (All for that client).
Link Option:
Step 4a: In the window that opens when you select the link option, select the initial date range for your report or dashboard.
In the bottom-right, toggle on the option to change the date range. The button turns green when enabled.
Step 5a: Click Create Link in the bottom left to complete the process.
Email Option:
Step 4b: In the Email pop-out, click under Timeframe to change the options.
Step 5b: Choose the report date range and the comparison date range. In the bottom-right, toggle on the option to change the date range
Step 6b: Select Send Now.
When Clients view the link or open the web report from their email, they'll see an option in the upper-right corner to change the date range. If they don't change it, the dashboard or report updates daily for the selected date range.
This option isn't possible when downloading a PDF report or dashboard, since PDFs don't support dynamic data.
Compare to a Previous Period
Once you've set a date range (see Set a Date Range above), use the time period selector in a dashboard to compare current data to the previous calendar period or year.
Step 1: Click the date selector at the top right of a dashboard, select your desired comparison period from the dropdown.
Comparisons depend on having historical data available. If no data exists for the previous period or year, the comparison metric shows 0%.
Available options include:
Previous Period: Compares to the same number of days before your current selection. Choosing "Last 7 days" compares to the 7 days before that. Choosing "This month" compares to last month. A custom range of 47 days compares to the previous 47-day period
Previous Year: Compares based on the calendar year. Choosing "Last 7 days" compares to the same calendar dates as the previous year. Choosing "This month" compares to the same month of the previous year
Step 2: Click Apply.
Working with Line Charts
When using Compare to Previous, your line charts display a secondary "previous period" line alongside the current one.
Displaying Decimal Values
The percentage comparison shows decimal values for values below 10%, making small movements easier to see (for example, +0.4%). Values of 10% or higher don't show decimals.
Create a Dashboard for Internal Use
Admin and Staff users can create account-level and Staff-only dashboards to track internal KPIs, without adding extra dashboards to your Client's view.
Create a Roll-up Dashboard
Roll-up Dashboards pull data from multiple Clients into one account-level view. See Roll-Up Dashboards and Reports for setup steps.
Create Staff-Only Custom Dashboards
Any custom dashboard can be set to Staff-only by the account Admin or a Staff user with the required permissions.
Step 1: From the Client Overview, click Edit My Dashboards in the upper right to open the dashboard editor.
Step 2: Hover over a dashboard on the left, click the Ellipsis to open the dropdown, then click Edit.
Step 3: Scroll to Section Access and deselect Client Access. This updates the dashboard's visibility from Client and Staff to Staff Only.
The dashboard editor autosaves your changes, which you can confirm by checking the indicator in the upper right of the editor.
Share or Present a Dashboard
Dashboards are built for in-app viewing, but there are plenty of times when you'll want to download, share, or present this information directly to your Clients. All dashboard types (account-level, integration, and custom) can be shared or presented in several ways.
Download a Dashboard as a PDF
Any dashboard in AgencyAnalytics can be downloaded as a PDF. When working on a dashboard, look for the page break indicators to see where the PDF pages will split.
Step 1: Navigate to the dashboard you'd like to download. In the upper right, choose a date range for the download, then click Apply.
Step 2: Click the share icon in the upper right to open the dropdown menu.
Step 3: Click Download as PDF.
Step 4: Choose to share the Current Dashboard Section or All My Dashboards (All Dashboards).
Track the status of your export from the Inbox in the right sidebar. Most PDFs take only a few minutes to generate.
Step 5: Hover over the notification and click Download Report.
Share a Dashboard via Email
Dashboards can be sent directly by email, a quick way to share reporting with Clients.
Step 1: Navigate to the dashboard you'd like to send, then click the share icon in the upper right.
Step 2: In the dropdown, click Email.
Then Choose to Send Current Section or Send My Dashboards (All Dashboards).
Step 3: Select the timeframe you'd like to report on, choose whether users can change the date range, then click Next in the bottom left.
Step 4: Enter the email recipients, choose an email subject, and add a message to accompany the dashboard link. Click Send in the bottom left to email the recipients.
Create a Shareable Dashboard Link
Web links let your team share dashboards directly, without requiring Clients to sign in to AgencyAnalytics.
Step 1: Navigate to the dashboard you'd like to share, then click the Share icon in the upper right. In the dropdown, click Share Link.
Step 2: Choose whether to Share Current Section or Share My Dashboards (all dashboards) as a single link. If you share all dashboards, keep in mind that this includes any Staff-only dashboards.
Step 3: Choose the date range and comparison period for the dashboards you're sharing. You can also enable Clients to change the date range by turning on the toggle in the lower right. When ready, click Create Link in the bottom left.
Step 4: After a few moments, the shareable link appears. Click Copy Link to copy the URL, then paste it into an email, direct message, or wherever you'd like to share it.
Present a Dashboard in Full Screen
All dashboard types from AgencyAnalytics can be presented in real time.
Step 1: Navigate to the dashboard you'd like to present, then click the full-screen button in the upper right.
Step 2: The interface hides, and only the dashboard's full-screen display is visible. Scroll down the dashboard to present more information. Press Esc on your keyboard to exit full-screen mode.
FAQ
Can I restore a dashboard I deleted by mistake?
Yes. Restore a previous dashboard version from the version history sidebar to bring a deleted dashboard back.
Is there a limit to how many widgets I can add to a dashboard?
Yes, each dashboard supports up to 100 widgets. This limit keeps dashboards from loading quickly. If you need more widgets, create an additional dashboard.
If I edit my dashboard after sharing a link, will those changes appear to the viewer?
Data on the shared dashboard links is fetched live and reflects the selected date range. However, design and layout changes, like adding or removing widgets, changing filters, or rearranging the dashboard, made after you share the link won't be reflected. Generate a new link to share the updated layout. You can vote for dynamic shared dashboards here.
Can clients change the date range on a downloaded PDF?
No. Dynamic date ranges only work on shared links, emailed dashboards, and scheduled reports. PDFs don't support dynamic data, so the date range is locked at the time of download.
Who can create or manage Roll-up and Staff-only dashboards?
Roll-up Dashboards can be viewed, managed, and edited by the account Admin and Staff with unrestricted Client access. The staff-only dashboards can be set by the account Admin or a Staff user with the required permissions.
If I share all dashboards at once, will Clients see Staff-only dashboards?
Yes. Sharing, emailing, or downloading all dashboards as one PDF or link includes any sections set to Staff only, so double-check your selection before sending.
What happens if there's no historical data for the period I'm comparing to?
The comparison metric shows 0% if no data is available from the previous period or year.
