Send, Schedule, and Approve Reports

Once you build a report, AgencyAnalytics gives you full control over how and when it reaches your clients, whether that's a one-time email send, an automated schedule, or a gated approval flow, so you can review the data before it goes out.

Send a Report on Demand

To share a report at any time, first open a report on the reports page.

Step 1: In the top right of the Report builder, click the Share button, then select Email from the dropdown.

Step 2: A slide-out will open to the right. Choose a timeframe for the report, add your recipients, and write an email subject.

Step 3: Fill out the body of the email. You can choose from an existing Email Template or write your own from scratch.

Use /slash commands to insert formatting elements like headers, tables, and bullet points. Highlighting text reveals additional formatting options.

Step 4: When it looks how you'd like, click Send Now at the bottom to send the email to the listed recipients.


Create a Scheduled Report

Report scheduling lets you set up automated email reports that send daily, weekly, biweekly, monthly, quarterly, or annually with no further action needed after setup.

Step 1: From anywhere in the app, click Reports on the left sidebar to open the Reports page, then click Create Report in the upper right corner.

Step 2: Choose your report type: Either a Client Report or a Roll-up Report.

Step 3: Choose the report format: Slide Deck (landscape, best for screen presentations) or a Document Report (portrait, best for independent review via PDF or web).

Step 4: Choose your starting point:

Blank Report

A blank canvas ready for you to build from scratch

Smart Report

Generates a report using the integrations currently connected to the Client

Report Template

Starts from a template you've created or a pre-configured one

Existing Report

Clones an existing report from any Client to use as a base

Step 4: Add a title, then click Continue in the bottom left. You'll be taken to the report design editor.

Step 5: Design your report, adding and configuring sections and widgets as needed. Reports autosave every second. Check the indicator in the upper right to confirm saves.

Step 6: When you're finished designing, click Schedule at the top of the page to configure delivery.


Set a Report Schedule

Whether you're setting up a brand new report or adding a schedule to an existing one, the process is the same.

Step 1: Open the report, then click the Schedule button in the top right of the Report Builder. A slide-out will open to the right.

Step 2: Use the date picker to set the timeframe for the report, then add the email addresses of each recipient and an email subject line.

Step 3: Click the Schedule dropdown and configure when you'd like the report to send. Choose your interval (monthly, quarterly, annually, etc.), then refine with the specific day and time. Click Apply.

The scheduling options include:

Frequency

How often does the report automatically send

Day of Week/Month

The exact day of the send. Choose the 31st to schedule for the last day of any month

Time of Day

When the report sends

Date Range

The time period the report's data covers

Compare to Previous

Optionally compare the report's date range to a prior period

Include Today

Choose whether to include today's data in the date range

Require Approval

Holds the report for your review before it is sent to clients

Step 4: Optionally enable dynamic date ranges so recipients can adjust the date range after receiving the report.

Step 5: Scroll down to write the email message body, then click Save Schedule in the lower left to lock it in.

Once saved, a banner at the top confirms the schedule is active. At each scheduled interval, the report will automatically be sent to your recipients.


Modify or Pause a Schedule

To change timing, recipients, subject, or email body:

Step 1: Open the report, click Schedule in the top right.

Step 2: Make your changes, and click Save Schedule.

To pause a schedule, open the report's Schedule settings and toggle Schedule Active off.


Approve Reports Before Sending

The Require Approval feature lets you review each report before it reaches your clients, giving you time to check the data, add context, or make last-minute edits. This feature is available on select plans.

Enable Require Approval

Require Approval can be turned on when setting up a scheduled report for the first time, or added to an existing scheduled report at any time.

For an existing scheduled report:

Step 1: Open the report, click Schedule at the top.

Step 2: Toggle on Require Approval under the scheduling options.

Step 3: Click Save Schedule.

Review and Approve a Report

Step 1: At the scheduled send time, you'll receive an in-app notification that the report is ready for review.

Click the Inbox in the top right, then hover over the notification and click Review to open the report.

Step 2: In Review mode, you can make any last-minute changes just as you would in the Report Editor. You can update widgets, add context, or adjust any metrics.

Step 3: When you're satisfied, click Review Email at the top to review the email settings (recipients, subject, message), then click Approve and Send in the upper-right to send the report immediately.

Track Pending Approvals

In the Reports table, you can add columns to surface key approval information, such as the last send date and reports awaiting approval.

If reports are waiting for approval, the tag under Awaiting Approval will show the total count. Clicking the tag opens a list of all pending report instances, where you can choose to review or reject each one.


Troubleshooting Scheduled Report Delivery

If a scheduled report wasn't received, check the following:

1. Verify the schedule is active. Without an active schedule, reports will not be emailed. Open the client in AgencyAnalytics, go to Reports, select the report, and confirm a delivery schedule is set with the correct frequency, recipients, and send time.

2. Check spam and junk folders. If the activity log shows the report was sent, ask the recipient to check their spam or junk folder and confirm that the report sender addresses aren't being filtered or auto-archived.
