This article covers how to connect CallRail to AgencyAnalytics, what data is available, and how to troubleshoot common CallRail integration issues.

CallRail

CallRail is a call-tracking system that assigns different tracking phone numbers to marketing campaigns. Connecting CallRail to AgencyAnalytics lets you compare traffic generated by each campaign and see which of your marketing efforts delivers the best return.


Before You Start

To connect CallRail without encountering a failed connection or error, the person setting up the integration needs a CallRail API v3 key. Older CallRail API keys (v2 or earlier) will not work and will trigger an "API key is not valid" error.


Connect CallRail

Follow these steps to connect CallRail to a Client in AgencyAnalytics.

Step 1: Open the Client where you'd like to connect CallRail, then click the Data Sources tab at the top of the page.

Step 2: Click the blue Connect Data Source button in the upper right corner of the page.

Step 3: Search for CallRail in the search bar at the top, then click the CallRail card.

Step 4: Click Connect New Account to launch the authorization window, then enter your CallRail API key and finalize the connection.

Once you save the connection, CallRail is connected. You can now add CallRail metric widgets to dashboards and reports.


FAQ

How is Lead Status (Lead Score) generated?

In CallRail, agents answering calls can assign each lead a lead score. CallRail explains how to do this here. In AgencyAnalytics, the "Lead Status" filter lets you filter CallRail widgets by assigned score.

Can I listen to full call recordings in AgencyAnalytics?

Yes, complete call recordings are playable through the CallRail integration. During long calls, the player may not display the full duration immediately. The timer will keep increasing as the call finishes loading.

Why do I see the error "Audio file could not be loaded, please try again"?

This happens because your browser settings block mixed content (a mix of secure HTTPS and insecure HTTP links). We can't resolve this on our end because the CallRail API sends audio files as HTTP links. As a workaround, allow insecure content in your browser settings.

Why am I not seeing CallRail data?

If CallRail data isn't displaying correctly in AgencyAnalytics, this is usually a limitation of the CallRail API itself, which affects how much and what type of data we can pull:

  1. Only Qualified Leads are available through the CallRail API. Raw Leads are not available. To check the lead type, open the CallRail website, go to Acquisition, and then the Lead Attribution by Source report. The Qualified Leads column should match the data shown in AgencyAnalytics.

  2. CallRail limits data through its API based on the number of records, not by date. We can generally fetch around 3,000 records (phone calls, call recordings, form submissions, and so on). If a client gets 300 records a month, we can display about 10 months of data. If a client gets 1,000 records a month, we can display about 3 months of data.

  3. CallRail automatically deletes communication records older than 25 months. Anything older than 25 months is also unavailable in AgencyAnalytics.

Why am I seeing an "API key is not valid" error for CallRail?

This usually means one of two things:

  1. A new API key was generated in CallRail. CallRail automatically disables all previous keys when a new one is created, so any Client still connected with an old key will show this error.

  2. The key being used isn't a CallRail v3 API key.

To fix this, go to the CallRail integration in AgencyAnalytics, manually select the affected account in the integration wizard, and reconnect using your current API key. Old keys can't be reactivated once CallRail disables them.

Why is the Tracking Number filter not working for all CallRail widgets?

Due to current API limitations, the Tracking Number filter only works with table widgets.
