Send Scheduled Reports

Set a schedule for Reports to ensure your clients receive prompt and consistent updates. Use the approval feature for a last review before sending to Clients.

Set a Report Schedule

To get started, create a report or open an existing one from the Reports page. In the Report builder click the Schedule button in the top right of the navigation bar.

A slide-out will open to the right. Set a timeframe for the report using the date picker, then add the email address of each recipient, then add an email subject line.

Next click the schedule dropdown and configure when you'd like the report to send. Choose from different intervals like monthly, quarterly, or annually, then refine with date and time specifics. Click Apply in the bottom left.

Finish the schedule by adding a body to the email message, then click Save Schedule in the lower left of the slide-out to lock it in. Once saved a bar at the top will confirm the schedule is set and active.

At your next scheduled interval the report you've designed will automatically send.

Approve Reports Before Sending

If you want to approve scheduled reports before they're sent to Clients, turn on the "require approval" toggle when setting a report schedule, then click Apply in the bottom right.

At the scheduled send time, you'll be notified that the Report is ready for review and approval. Click the Notifications menu, then click the Approval notification to immediately open the Report for review.

In Review you can make any last minute changes just like you would in the Report Editor. When ready, click Approve and Send in the upper right to immediately send the approved report.

On the Reports table you can add columns to surface important approvals information, like last send date, reports awaiting approval, and more.

If Reports weren't approved, the tag under awaiting approval will display the total number of reports waiting to send. Clicking that tag opens a list of report instances waiting for approval.

Here, you can choose to review the waiting reports or reject them to refuse the scheduled send.

Can I change a report schedule or change the recipients?

Yes! Simply open a Report, click Schedule in the top right, then change the timing or turn off the toggle to pause the schedule. Click Save Schedule in the bottom left when you're done.

If the disable option is not immediately available, ensure you make any necessary edits to the report and click Save. After saving, the disable button will become accessible, allowing you to turn off the schedule for that report.

Can I change the recipients for scheduled Reports?

Yes! You can change or add recipients, alter the email subject, or change the body of the email all in the same place.

Open a Report, click Schedule in the top right, then simply alter whichever fields you'd like. When ready, click Save Schedule to cement these changes.

Troubleshooting Scheduled Report Delivery

If you or your client did not receive a scheduled report, consider the following common causes and solutions:

1. No Schedule is Set for the Report

First, verify that the report has an active schedule as without an active schedule, reports will not be emailed. To do this:

  1. Open the client in AgencyAnalytics.

  2. Go to the Reports section and select the specific report.

  3. Add a delivery schedule by choosing the frequency, recipients, and send time.

2. The Report Was Sent but Not Seen

  • Confirm that the recipient has checked their inbox, including the Spam or Junk folders, for the report email.

  • If email filters are in use, ensure the report sender is not being filtered or auto-archived.

By applying these steps:

  • If a report shows as "unscheduled," add a schedule to enable delivery.

  • If delivery logs indicate the report was sent, check the recipient's mailbox and spam/junk folders to locate it.
